Good afternoon, everybody. My name is Josh Hernandez, and today, we are going to be taking a look at the Flexmls client portal and some of the frequently asked questions. A few weeks ago, we did an overview of using the portal and what that looks like in Flexmls . And these are some of the most frequently asked questions that I get during live trainings from members.

Let’s go ahead and look at five of the most commonly asked questions that I see. Number one. When I demonstrate this for some users, sometimes they say your portal page or your portal preferences page, it looks very different than what I’m seeing. So we’ll cover that in case you see something different than what I’ve shown in previous portal videos.

Next, do listings sent via manual emails or subscriptions, do they look different inside the portal? Does it matter how I share a listing with somebody? Is it a different experience? So we’ll cover that. Can I invite a contact to my portal if they are not getting listing updates subscriptions? Oftentimes, when we demonstrate subscriptions or portals, we’ll show both together.

But I’ll show you how you can actually use the portal independently and what that might look like. Can I see which contacts are using the portal? So I’ve invited a lot to use it. Can I quickly tell who is using it? Yes. And I’ll show you that.

And finally, is it possible for multiple users to share the same portal? I’ll I’ll talk about that as well. So let’s begin with that first question. If your portal or your portal preferences page looks different than mine, you may still be using what’s called the classic portal.

So most new users, if you’ve started using Flexmls within the past eight years, you probably don’t know what I’m talking about, and you don’t have to face this problem. But there are attendees who have a very different experience when using the portal because they’re using kind of an older version called the classic port.

So I’m going to show you what that looks like, and I’m also going to show you how we can turn that newest version on for your contacts. So we’ll talk about why the newest version is probably ideal. Number one, it’s optimized for touch screen devices. I’ll kind of show that.

And it also allows members to run their own searches, but also whenever there are new features released that there’s no development going on for that older classic version of the portal, everything is done for the newer version of the portal. So we’ll take a look right now.

If you go I’m logged in to my training account right now. And if you go, I’ve gone to my menu, and I’ll go to portal preferences. I’ve already got it pinned up on my favorites.

But when I come here, if your screen looks like this, where you have a list of preferences, they’re expandable, and it just says portal right at the top, you’re all set. You’re good to go. You can disregard the rest of this explanation.

However, I’m going to go ahead and just illustrate, if you come to that screen, I’m gonna go to my portal preferences in a different training account. So that’s why you saw me change users. So in this training accounts, I’m gonna come down and change this screen.

If you go to portal preferences, I’m just gonna go back to the my menu, go to portal preferences. I’ll put that on my favorites there as well on this training account. And when I go to portal preferences, if I just see kind of a video button that says, do you want to try the newest version of the portal or access the classic portal settings?

If this is what I see when I go to portal preferences, it means I’m using the classic version of the portal. And there’s nothing wrong with that, but like I said, it’s not optimized optimized for a touch screen for my contacts that I’m working with. My contacts, when I share the portal, they don’t have the search feature in that classic version.

So what you can do is just click this blue button underneath the video that says, try the Flexmls portal. And as soon as you click on that, the new portal is enabled. And that means all the interactive listings you share from Flexmls, whether it’s a subscription email, a manual email, or a contact using the portal, they’ll all use that new, interactive listing format.

So you just have to click that button. Try the new Flexmls portal, and you’re all set. You’re using the newer version. Be aware that when you do that, it changes the interactive listing, not just within the portal, but any interactive listing that you sent.

So if you already see this screen, we’re all set and we’re all on the same page and ready for our next question. And I’m going to go back to my other training account because this is the one that I’ve set up for today’s examples.

And our next question relates to everybody, especially if you’re using the newest version of the portal. And that’s when you send interactive listings, when you share listings. So the question is often phrased something like, do listings sent via manual email?

When I just go to a search and email a listing, I select the listing and I email it to somebody, or automatic emails, the subscriptions. Do those listings look different inside the portal? So most common ways to share listings from Flexmls, whether you’re on the full website or maybe you’re using the app, you can send a manual email. That’s just selecting specific listings and emailing them to a contact.

The subscription email is the automatic listing updates. The portal, it’s what we’re talking about today, and that’s the website where people can log in and see listings. They can run their own searches. They can see the actual search you saved for them. Or if you’re using the app, a lot of times people will just share listings via text.

And texting listings is also an option on the full website similar to a manual email.

And it doesn’t matter how you share the listing with a contact. The interactive listing always looks the same. And I’m going to bring up I’ve got another tab open right now, and I’m just gonna open this up. So with this contact, I’ve got a news feed. So this is, I’ve set up this contact. This contact’s name is Megan, and I’ve set her up to receive listings automatically.

So the this is her inbox. This is Megan’s inbox. I created this before class to show you what my contact Megan would see. And these are just listing updates. And whenever Megan clicks to view that, she sees a preview of the listing, or if I sent the listing manually, or I sent it via text, it’s the same experience.

When she taps to actually view the listing details, it is an interactive listing. And that just means that Megan has access to all of the photos. She can scroll down and view the map location, all of the listing details. And this interactive listing, it doesn’t matter how she gets it from me. They’re all the same as far as how they navigate that listing.

And if Megan opens this up on a mobile device on her phone, for example, that interactive listing is the same here. It’s the same experience. This was a subscription email. Same thing if you send a listing manually, if they find a listing while logged into the portal, or if I text them the listing, the listing that they received, it’s the same experience.

So it doesn’t matter how they get the listing, it’s going to be that same experience for you. Now I’m gonna just exit out from this one, and I will say that this contact, Megan, is already using a portal. So in addition to having the email that or the listing sent in the email that we just opened up, she also has access to all of those portal options.

So if I share a listing with Megan and she’s a portal user, I share it via text or subscription or a manual email, when she opens that up on a mobile device where she’s already logged into the portal previously, it opens up inside the portal. So in addition to being able to see the listing details, Megan has all of those portal menu items that are available here. She can see the searches I’ve saved for her.

Any listings that she comes across and has put a star on there in her saved collection. Or since she’s in the portal, she can also filter and run her own searches here as well and view the listing results. And while viewing the results, she can always save listings.

So she has all of that ability that’s extra within the portal, but the actual interactive listing itself outside of that menu, the interactive listings, it’s the same navigation no matter how they receive the listing from you. Next, let’s come in here and just say, what if that contact can I invite them to use the portal even if they’re not getting listing updates, a subscription?

Because I just showed you this demonstration. Usually, I’ll demonstrate this for people live, and I’ll show them a demonstration of how it works seamlessly when Megan is logged into the portal once. She gets a listing update via the subscription. It opens up to that listing, but she also has that access to the full portal here. But what if Megan is not getting a listing update from me?

What if I just send listings manually, and I also just invite her to use the portal? I don’t have a saved search for her, right, or I don’t, turn on a subscription to auto emails. Is the portal still useful?

And one hundred percent, the portal is extremely useful for somebody. As a matter of fact, I’ve had people just say, instead of signing people up for a subscription and getting the search, the first thing that they do is just give them access to the portal. And why you do that is because it allows them to search the MLS, and as they search the MLS, they can mark their favorite listings.

And I still see what they’re doing inside Flexmls. When I go to a contact that’s using the portal, regardless if they have listings from me via subscriptions or anything else, when I go to that contacts portal tab, I can see what searches they’re saving or not saving rather, but what searches they’re running.

If you use Flexmls IDX products, they can save the searches within the portal. But otherwise, they just run the search and save their listings that they like from any particular search results. So I can see what Megan is searching for. I can see what they’re saving. And I could build a search for them and send updates based on what they’re actually doing in the portal.

So let’s just go through this kind of as an example here, where I’m going to say, let’s come in and select we’ll just add a new contact and invite them to the portal. And we will have it. So they don’t have a subscription. They don’t have any manual email updates for me. I’ll just send a portal invitation.

And let’s go ahead and we’ll just say, well, and add a new contact with my quick add on my contact management screen.

And I’ll click here to send that portal invitation. So now I just did a quick add. Tammy doesn’t have much information. I haven’t put in her phone number or any notes on the record or anything like that. But I can come in and see her portal tab.

Now Tammy actually just received an invitation. When I did the quick add on Tammy, I had checked that box that said invite to portal. So it turned the portal on for Tammy. I could manually come in and send that portal invitation, but let’s take a look and see what Tammy received.

So Tammy just received that portal invitation. Here is Tammy’s inbox. I set this up so we could see what Tammy sees. I set this up before class. So here’s Tammy’s inbox. And it would say your name via Flexmls, but mine just says my training name. And when she gets that, that’s the portal invitation.

So if I were to manually send that and then click invite to portal on a contact record, I see this already in here. That invitation is defaulted in your portal preferences. You can always go in and customize it and change it, but it’s a great intro email because it also includes links to watch a short video on how to use the portal. Don’t forget you can download an app for the portal, the home buyer app for your iOS or Android device.

So that’s the email that just went out to Tammy when I added her as a contact, and I click that little button that said invite to portal. So Tammy has to sign up to use the portal. So when she signs up, her username is already her email address, and she just sets her own password. You will not have the ability to know what Tammy’s password is.

You can always help her send a reset link if she’s forgotten her password, but, Flexmls takes security very seriously. I don’t know their passwords. You don’t know their passwords. You can help them reset it, But come in here and sorry. Let’s see what’s going on. I might have too many windows open right here. There we go. So Tammy’s logged into the portal.

She created a portal account. So she doesn’t have anything in the news feed. Those would be listing updates. So she doesn’t have anything in that news feed. She can send messages to me. If she looks at saved, I haven’t saved any searches for her, so she doesn’t see any saved searches. But Tammy can now come in and start searching the MLS herself.

And she can do this remember, this will optimize if she’s on a mobile device. It’s optimized for mobile, or if she’s on opens this up on her tablet or laptop, she’ll see it out like this.

She can start searching herself for whatever she may be looking for.

So maybe she’s looking in West Fargo, four bedrooms.

And as Tammy goes in and starts looking at these searches, let’s look over here. Square footage.

So Tammy’s created this search. She’s got seventy six results and or now twenty five results after that square footage change.

Now Tammy can start looking at listings on the MLS, but she’s in my portal. So everything that she does, I see. If Tammy looks at this particular listing and looks at the details and says, oh, this is great. I want to save this listing to my favorites. Or maybe she wants to come in here and get a link.

She’s gonna email that listing or text that listing to somebody if she’s on her mobile device. She can just copy and share that listing.

Or since she’s in my portal, if she taps on request a showing, this is my portal. So she’ll see that it’s going to me, and the message she can type in that message and send me that showing request. It’s my portal. It’s not going to the listing member. It’s going to me because she’s working with me. We already have that relationship.

And now I just received a message and notification from Tammy that she’d like to see this property. So then I could set that up with the listing member. Same thing if she has questions on something and clicks on contact agent, since she’s in my portal, that’s going to go to me. It’s not going to the listing member. And anything that Tammy, maybe she’ll go to the next listing here.

She likes this one as well. If she saves this listing, those start showing in her saved collection. So now whatever searches she’s doing and listing she’s saving, she can keep track of them. She can go in again. She can maybe rate this with three stars. If she’s looking here, she can share the listing, contact me about the listing.

Whatever Tammy is doing, it’s going to be saved for her if she saves the listing. And I’m going to see back in Flexmls. I’ll just reload my contact management and come right here. I’m going to be able to see what Tammy’s doing inside the portal. So I’ll be able to see listings that she has saved. If I click on this, I’ll see what Tammy has inside the portal.

She has three stars on this one, one star on this one. So I know what she’s doing. It’ll take a few moments, but the search that Tammy ran to create that, that will show down here in that recent unsaved search section. So it won’t be in immediately. Usually takes about two or three minutes before I see that.

So Tammy has a ton of options for looking at listings, saving listings, contacting you about listings, and I never even created a search for her. I didn’t turn on a subscription for her, but she still has access to search the MLS. And I’ll be able to see what she’s searching for and saving. So you can absolutely use the portal independent of any other functionality in Flexmls.

Maybe Tammy’s the type of person who says don’t send me listing updates. I don’t check my email. I can still save a search for her. And when I save a search for her, she’d see it under my saved searches, and she could check it herself. The default sort sort excuse me.

Default sort for the search or searches that I create for Tammy, it’ll default to showing the new listings at the top of the searches. So she can just check herself and see what’s new at any point in time. She doesn’t have to get the updates from me. Now the updates work well. It gets a nice notification of new listings, but the portal can be used one hundred percent by itself if you would like to.

And it’s a still a great experience for the contact because it gives them control. They can search and save listings. Next question. And this is a big one. Maybe you’ve been using Flexmls for a while, and you want to know I’ve invited a lot of people to use the portal. Who is using my portal? And I’ve got a couple of different routes we can take to see who is using the portal.

And I like the very first one here in contact management. We can customize the information that displays. So what that looks like, I’m just gonna click on contact management. And right now, I see my contacts name, activity. That I always keep in here and that’s there by default. And that just lets me know who’s looking at listings, whether it’s in the portal or listings that I send manually.

It all goes into that activity column. But my question is, I’ve got a lot of people that have the portal turned on. I’ve invited them to the portal, but who’s actually in the portal? So I can customize these columns of information that display. And I’m going to click on advanced. And the very last option under advanced on the upper right is customize my contact list.

Now on the right side, I see everything that we currently have on display. The portal is it off or on, phone number, email. Well, maybe I’m rarely reaching out via phone from my contact list. Maybe I I’m gonna take that off.

But there is an option here last active, and we’ll see. It won’t display right now. We’ll add it. When I add it as a column, we’ll be able to hover over and see what that is. Last active is actually the last time they logged into the portal. The last time they went into the portal looked at listings. So that’s what last active means. I’m just gonna put it on here.

I’m gonna actually put it right after my portal. So I’ll see is their portal on, and when were they last inside the portal. And then I’ll click on save changes.

Now I see there’s my activity here on the far left, always there. I see is their portal on or off.

And then I see when were they last active within the portal. And now I just demonstrated Megan’s portal, ten minutes ago. So I see, actually twelve minutes ago. So I see that her last active. That’s the last time Megan was in the portal looking around because we were demonstrating as Megan. We actually see the last time they were active in the portal.

So that column allows me to see who is actively using the portal. If you’ve got hundreds of contacts here and say, maybe some of them are active in the portal, some are not. You can always click on that column header. Now you’ll notice before I click, it tells me that last active is sorting I’m about to sort by the portal login. So it tells me what that column of information is.

Because last active, sometimes people say, what does that really mean? It’s when they last logged in or last actually had activity within their portal. So if I click on that, now it gives me everybody who’s been logging in. I just sorted by last active, and I can see, Tammy. We demonstrated her after Megan, and you’ll see she logged in at, eleven seventeen AM central time.

My training account is central time, so that’s what it’s displaying on screen right now. So but I can also see I’ve got several other other people who’ve logged in, but not for some time, which is to be expected because these this is a training account. These aren’t actual contacts that I’m working with.

So I do see that they have that option right now.

Now one other thing to mention here is that there’s often the question of if somebody is not using the portal, can they save a favorite listing? So I’ve logged out. I’m gonna come back out here. Gonna get into Megan’s inbox. Give me one moment.

And the question is, can people save favorite listings if they’re not using the portal? So I’m going to show you. Here’s Megan. Now I’ve logged out of her portal because I’ve opened several different windows, so I had to log out for Megan. I had her logged in previously, but right now, if Megan is not using the portal and she’s not logged in right now. So this will respond as if she’s not using the portal.

And she looks at one of these listing updates. I’ve sent her and taps on the listing and views the listing details.

As she’s looking at those listings, it is not she’s not going to see the same menu where she can save searches or anything like that. All she’ll see is the news feed because she opened this up from a subscription. So she can see all of those listing updates, but she doesn’t have the agent saved searches. She doesn’t have the ability to run her own searches.

If she attempts and she’s looking at this, and she attempts to save the listing and says, I’d like to save that listing, she would have to log in to the portal. So, if you do share an interactive listing with a contact they attempt to save, In order to have a place to view those saved listings, they have to be using the portal. So they would have to go in and log in and use that portal.

So if I’ve got the portal turned on for an for a contact, that’s what that process would look like. If they weren’t logged in already, they would have to log in to be able to save that.

Now once they’ve logged in, if I send a, listening to Megan via text or a manual email, it’ll open up inside her portal. She’ll be ready to go, and she’ll be able to just click and mark something as saved immediately from there without having to log in again. They don’t have to log in again and again and again. If they’re using the same device, they’ve already logged in once, it’ll keep them logged in.

It doesn’t time them out as far as that login is concerned.

Now there is one other place to see who is currently using the portal. If you’re like, I already have a lot of columns of information here. I don’t want to add in that last active column. You can go to advanced, and there is a contact summary report. When you click on contact summary, I’m going to see all of my contacts right now. They’re just sorted alphabetically by first name.

And then I’m going to see last active, and it’s under the portal column. So I know last active within the portal. This is clickable and I can quickly sort to see who’s last active. Same thing here.

The nice thing about this contact summary report, not only do I see who is last active, but I can see if they’re in the portal, I can quickly see how many listings have they saved total, and how many listings are new that they’ve saved within the past seventy two hours, for saving here. So I can come in and say, Megan, what is she clicked on recently or what is she marked as her favorites?

You can click on that or maybe I want to see Tammy what she’s marked as a favorite since we just invited her. She’s got two new favorite listings and it will just show me what she’s marked as favorites. So that contact summary report is really nice too.

Not only to see who is active, but also gives you just that quick link of if they are active in the portal, what have they marked as favorites, and you can just navigate to that contacts favorites right from here. Or if they’re removing listings, or if they’ve sent me messages, it’s here as well. So I’m just going to go back out to contact management and point out that report was under advanced.

And the very first option under advanced, that contact summary report.

Now, on to our next frequently asked question after who is using the portal.

This one is, can multiple users share a portal? Or maybe I’ve got a husband and wife is a lot of times the scenario that somebody will present to me. Can they both log in and use the same portal? What determines the username and login information and password? So oftentimes, we’ll click on Megan for our example. People want to say, well, Megan, maybe I want her to have a spouse.

I could add her spouse separately in Flexmls. I could add out here, put in her spouse name, maybe Pat Phillips, and do a quick add and have a separate account for Pat.

If I do that, they can get different listing updates. If I am on Megan’s record, you’ll see when I edit the contact, you do have the option to add additional email addresses. However, that will have no bearing. So maybe I’ve got her spouse in here, and and I’ll just put in Pat’s email address.

And if I click notify, that has to do with the automatic listing updates, the subscription. This means any listing updates that Megan gets, if I click that notify, Pat’s email address that’s on her record will also get the same updates. So I can save the changes.

But with the actual portal, there is only one login per any given portal.

So Pat will never have a separate username and password for the portal. So if I’ve invited Megan to use the portal and we’ve already seen Megan’s portal, and I want to have Pat have access to the portal as well, I would just tell Megan to share her login information with Pat. Because the portal, when they log in, there is a single username and that username will always be the primary email address on that member’s record.

So in this case, Megan or Pat would log in with the username of megan n star at mailinator dot com. Whatever Megan’s email address is, that’s what Pat would use as the login as well. He would use Megan’s email address as that login. And Megan would have to share her login information that, password that she’s created. She would have to share it to give Pat.

And that way, they would both be in the same portal. That means if Pat logs in on his device using Megan’s credentials and Mark’s favorites, Megan can see what Pat’s marked as a favorite. I can see what they’re searching for or what they’re marketing as favorites or what they’re removing. Doesn’t matter who’s using that portal.

I’m going to see what’s going on in the actual portal here when I look on Megan’s record. I will not see who is doing what. So I can’t see Pat logged in or Megan logged in. So can I see which contact is responsible for which actions within the portal?

If those contacts are sharing the same portal, I will not see which one is doing which because I’m just using a single contact with multiple I’m gonna go back to contact management with they’re just sharing logins. So usually for spouses, I tell people, just tell them they can share that login information with the spouse so they can both get into the portal and use that.

They can mark their favorites, and they would all just be put together under the same saved collection there in the favorites.

Now I do see a few questions that came in and that I want to address.

And one is, I think, tied back to the portal invitation when I went to contact management and I just added Tammy on the fly, and I said add that portal. The question is, is the portal invitation different when I invite them from the full website? And I’m paraphrasing this. When I invite them from the full website versus when I invite them from my app.

And it’s actually a different invitation.

So I’m just gonna look at the portal invitation here on the full website. And I prefer to invite people from the full website because I’m just gonna come in. Let’s go to somebody who doesn’t have the portal on. We’ll go to Aaron Anson. And Aaron’s not invited to the portal yet. If I were to invite the portal, I’ll just click on for Aaron and click portal invite. And this is the premade message that’s in your portal preferences.

And the reason I love this message, even though you can customize it and personalize it a little bit, it’s got these short videos that when you invite somebody to use the portal, it tells them how to use it. And it also tells them they can download the app for their iOS or Android device.

So it’s a really nice email that gives a little bit more context. Now I’m actually going to bring up my phone. Give me one second to see if I can get this up.

So when I invite somebody to use the portal from my mobile device, it’s a little bit different experience in that portal invitation.

It’s not that same portal invite message that I see right here. From my app, I’m gonna pull up my app on screen right here. So I’ve got my Flexmls Pro app. If you do not have the app, you can go to the Apple App Store or Google Play Store, and just search for Flexmls. And it is the Flexmls Pro app. So it’ll be a white tile with a little blue Flexmls logo. I’ve already logged in, I think, today on this.

Now I’ll have to double check to make sure. Actually, it looks like I haven’t logged in yet on that.

So now I’m logging in.

So from here, and let me double check to see which user I am using as. Alright. I’m in my training account. When I go to contacts, I can invite somebody to use the portal. There’s Megan Phillips right here, and then I see them sorted by active then alphabetically. There’s Aaron Anson here. We just invited him. We just sent that invitation from the full website.

What that invitation looks like from the app. Let’s click on Alonzo. I can tap this green button that says send invite. If you use an Android phone, you’ll notice the send invitation button. I don’t think it’s on this screen. I think you’ll see that when I tap on Alonzo.

It’ll be right under his name, and it’s a blue button rather than than a green button that says send invite. But I could send the invite from my iPhone or Android. Doesn’t matter if that button is green or blue. It does the same thing. But the invitation, I’m just gonna tap on send invite, tells me who I’m sending it to, what phone number it’s going to. And it’s a very short, invitation right here.

It doesn’t have the link to the videos. It doesn’t have a link to tell them to download the app. All this does is quickly send that invite. I’ll tap on that for Alonzo.

And let’s just come out here and see if I can show you what that invitation looks like. When you send it from the app, it’s very abbreviated.

So here, I just this is Alonzo’s inbox. So this is what Alonzo sees from me, but it’s just a really abbreviated. It doesn’t have all that extra information. It doesn’t have links to the videos, but it is pretty self explanatory. If Alonzo clicks on sign up for that portal, same process.

He creates his own password, confirms he’s not a robot, and then he just clicks confirm. And, I think I’m gonna get this twice today because I have so many accounts going at the same time. There we go. And now Alonzo’s in the portal. So that invitation actually looks slightly different depending on if I send it from the full website or the app.

So the app or the full website, the portal invitation, very robust, very has it’s not long, just, like, two short paragraphs, but it does provide more context. And then when I invite that from the app, we’ll just there was Alonzo right here. It is a very well, I’ll just tap on Alicia and just demonstrate again.

I can customize the message that appears here, but it is a very short message when the app is used. So the portal preferences, that invite that I have on my portal preferences on the full website, that invite message does not carry over to my app. So I just wanted to point that out.

And very last question that I see, and we’ll cover this just within our last couple of minutes of class, is last time we had a class on portals, I demonstrated how to work on behalf of somebody.

And the question that came up from that was, if you’re working on behalf of somebody and you recommend a listing, does the contact receive a notification of that? So in this example, we’ll just say I am looking on a hot sheet today. I see something that I think Megan would really like.

And if I wanna take this Meg this listing and just manually email it to Megan, I can select the listing here, go to email, manually email it. But if I wanted to go into Megan’s portal, under the agent recommended folder, I can work on behalf of Megan. So in my actions at the top of the screen, I’ll tap work on behalf of. I’ll say work on behalf of Megan.

You just start typing in the contact’s name and select. I see Megan’s. These are the searches I’ve saved, her saved listings. And if I want to recommend something, so Megan sees it in her recommended folder, the agent recommended folder inside the portal, I tap on that little briefcase icon.

And now in Megan’s portal, she is going to see that there’s a new listing under agent recommended. Now the question here is, twofold. One thing to point out, if Megan is not using the portal, recommending a listing, she’ll never see it. Because if she doesn’t log into the portal, she won’t see those recommended listings.

So it would be better for me just to select the listing and manually email that to Megan. But if Megan is using the portal, and I do recommend the listing here when I see something that I think, oh, that doesn’t match her search. However, I think she’d really like it. I put it in that recommended folder. Does she receive a notification? And I’m gonna come up, and we’ll see.

I’ve got the client app, the Flexmls app for homebuyers. So we just looked at and sent a portal invitation to somebody from the Flexmls Pro app. That’s the app for agents. I’ve got the home buyer app. That’s the client portal in app form. And so, let’s see if I’m logged in as Megan here. Let me just double check this. I’m in as Megan. I just wanna make sure I’ve got the correct account here.

So I am correct.

So if the client is using just the portal website, they will be able to see under saved when I’ve recommended something to them. They’ll see something in this recommended folder. And here I have five recommended listings for Megan. But they don’t actually receive a notification for that when they’re just using the portal website.

But the reason I open this up on the app is because when I invite somebody to use the portal from the full websites, and it has that link of how to use the portal and it’s got the links to the apps that they can use, in the app I’m just gonna tap on more.

And Megan can turn on notification settings.

So if she does this, she doesn’t have to rely on emails for listing updates for her searches. This will give a push notification to her phone on any new listing she could choose, price changes, but she can also choose if Josh recommends a listing to me. I’m just gonna turn on those agent recommendations.

Once she toggles those on, now when I recommend a listing to Megan, she’ll get a push notification directly to her phone.

So when I come in and recommend a listing out here on the or on this, Megan will get that push notification directly onto her phone where she’s going to see, like, a little pop up will come onto the phone, say that listing has been recommended. She’ll tap it. She’ll open it up within the app.

So one thing that the app version of the portal has that is unique to the app versus, unique to, the full website is the push notifications on the app. That’s really the one thing that sets the app apart from the full website. They don’t have to download the app, but the benefit if they do is they can get push notifications directly from from your searches to their phone.

So they don’t have to wait for an email, just pops up on the phone itself. And it also allows them to say, if the agent recommends a listing, send that as a push notification as well. So they’ll get that immediately when the notifications come up. Alright. And with that, thank you, and have a great rest of your day.

Good afternoon, everybody. My name is Josh Hernandez, and today, we are going to be taking a look at the Flexmls client portal and some of the frequently asked questions. A few weeks ago, we did an overview of using the portal and what that looks like in Flexmls . And these are some of the most frequently asked questions that I get during live trainings from members.

Let’s go ahead and look at five of the most commonly asked questions that I see. Number one. When I demonstrate this for some users, sometimes they say your portal page or your portal preferences page, it looks very different than what I’m seeing. So we’ll cover that in case you see something different than what I’ve shown in previous portal videos.

Next, do listings sent via manual emails or subscriptions, do they look different inside the portal? Does it matter how I share a listing with somebody? Is it a different experience? So we’ll cover that. Can I invite a contact to my portal if they are not getting listing updates subscriptions? Oftentimes, when we demonstrate subscriptions or portals, we’ll show both together.

But I’ll show you how you can actually use the portal independently and what that might look like. Can I see which contacts are using the portal? So I’ve invited a lot to use it. Can I quickly tell who is using it? Yes. And I’ll show you that.

And finally, is it possible for multiple users to share the same portal? I’ll I’ll talk about that as well. So let’s begin with that first question. If your portal or your portal preferences page looks different than mine, you may still be using what’s called the classic portal.

So most new users, if you’ve started using Flexmls within the past eight years, you probably don’t know what I’m talking about, and you don’t have to face this problem. But there are attendees who have a very different experience when using the portal because they’re using kind of an older version called the classic port.

So I’m going to show you what that looks like, and I’m also going to show you how we can turn that newest version on for your contacts. So we’ll talk about why the newest version is probably ideal. Number one, it’s optimized for touch screen devices. I’ll kind of show that.

And it also allows members to run their own searches, but also whenever there are new features released that there’s no development going on for that older classic version of the portal, everything is done for the newer version of the portal. So we’ll take a look right now.

If you go I’m logged in to my training account right now. And if you go, I’ve gone to my menu, and I’ll go to portal preferences. I’ve already got it pinned up on my favorites.

But when I come here, if your screen looks like this, where you have a list of preferences, they’re expandable, and it just says portal right at the top, you’re all set. You’re good to go. You can disregard the rest of this explanation.

However, I’m going to go ahead and just illustrate, if you come to that screen, I’m gonna go to my portal preferences in a different training account. So that’s why you saw me change users. So in this training accounts, I’m gonna come down and change this screen.

If you go to portal preferences, I’m just gonna go back to the my menu, go to portal preferences. I’ll put that on my favorites there as well on this training account. And when I go to portal preferences, if I just see kind of a video button that says, do you want to try the newest version of the portal or access the classic portal settings?

If this is what I see when I go to portal preferences, it means I’m using the classic version of the portal. And there’s nothing wrong with that, but like I said, it’s not optimized optimized for a touch screen for my contacts that I’m working with. My contacts, when I share the portal, they don’t have the search feature in that classic version.

So what you can do is just click this blue button underneath the video that says, try the Flexmls portal. And as soon as you click on that, the new portal is enabled. And that means all the interactive listings you share from Flexmls, whether it’s a subscription email, a manual email, or a contact using the portal, they’ll all use that new, interactive listing format.

So you just have to click that button. Try the new Flexmls portal, and you’re all set. You’re using the newer version. Be aware that when you do that, it changes the interactive listing, not just within the portal, but any interactive listing that you sent.

So if you already see this screen, we’re all set and we’re all on the same page and ready for our next question. And I’m going to go back to my other training account because this is the one that I’ve set up for today’s examples.

And our next question relates to everybody, especially if you’re using the newest version of the portal. And that’s when you send interactive listings, when you share listings. So the question is often phrased something like, do listings sent via manual email?

When I just go to a search and email a listing, I select the listing and I email it to somebody, or automatic emails, the subscriptions. Do those listings look different inside the portal? So most common ways to share listings from Flexmls, whether you’re on the full website or maybe you’re using the app, you can send a manual email. That’s just selecting specific listings and emailing them to a contact.

The subscription email is the automatic listing updates. The portal, it’s what we’re talking about today, and that’s the website where people can log in and see listings. They can run their own searches. They can see the actual search you saved for them. Or if you’re using the app, a lot of times people will just share listings via text.

And texting listings is also an option on the full website similar to a manual email.

And it doesn’t matter how you share the listing with a contact. The interactive listing always looks the same. And I’m going to bring up I’ve got another tab open right now, and I’m just gonna open this up. So with this contact, I’ve got a news feed. So this is, I’ve set up this contact. This contact’s name is Megan, and I’ve set her up to receive listings automatically.

So the this is her inbox. This is Megan’s inbox. I created this before class to show you what my contact Megan would see. And these are just listing updates. And whenever Megan clicks to view that, she sees a preview of the listing, or if I sent the listing manually, or I sent it via text, it’s the same experience.

When she taps to actually view the listing details, it is an interactive listing. And that just means that Megan has access to all of the photos. She can scroll down and view the map location, all of the listing details. And this interactive listing, it doesn’t matter how she gets it from me. They’re all the same as far as how they navigate that listing.

And if Megan opens this up on a mobile device on her phone, for example, that interactive listing is the same here. It’s the same experience. This was a subscription email. Same thing if you send a listing manually, if they find a listing while logged into the portal, or if I text them the listing, the listing that they received, it’s the same experience.

So it doesn’t matter how they get the listing, it’s going to be that same experience for you. Now I’m gonna just exit out from this one, and I will say that this contact, Megan, is already using a portal. So in addition to having the email that or the listing sent in the email that we just opened up, she also has access to all of those portal options.

So if I share a listing with Megan and she’s a portal user, I share it via text or subscription or a manual email, when she opens that up on a mobile device where she’s already logged into the portal previously, it opens up inside the portal. So in addition to being able to see the listing details, Megan has all of those portal menu items that are available here. She can see the searches I’ve saved for her.

Any listings that she comes across and has put a star on there in her saved collection. Or since she’s in the portal, she can also filter and run her own searches here as well and view the listing results. And while viewing the results, she can always save listings.

So she has all of that ability that’s extra within the portal, but the actual interactive listing itself outside of that menu, the interactive listings, it’s the same navigation no matter how they receive the listing from you. Next, let’s come in here and just say, what if that contact can I invite them to use the portal even if they’re not getting listing updates, a subscription?

Because I just showed you this demonstration. Usually, I’ll demonstrate this for people live, and I’ll show them a demonstration of how it works seamlessly when Megan is logged into the portal once. She gets a listing update via the subscription. It opens up to that listing, but she also has that access to the full portal here. But what if Megan is not getting a listing update from me?

What if I just send listings manually, and I also just invite her to use the portal? I don’t have a saved search for her, right, or I don’t, turn on a subscription to auto emails. Is the portal still useful?

And one hundred percent, the portal is extremely useful for somebody. As a matter of fact, I’ve had people just say, instead of signing people up for a subscription and getting the search, the first thing that they do is just give them access to the portal. And why you do that is because it allows them to search the MLS, and as they search the MLS, they can mark their favorite listings.

And I still see what they’re doing inside Flexmls. When I go to a contact that’s using the portal, regardless if they have listings from me via subscriptions or anything else, when I go to that contacts portal tab, I can see what searches they’re saving or not saving rather, but what searches they’re running.

If you use Flexmls IDX products, they can save the searches within the portal. But otherwise, they just run the search and save their listings that they like from any particular search results. So I can see what Megan is searching for. I can see what they’re saving. And I could build a search for them and send updates based on what they’re actually doing in the portal.

So let’s just go through this kind of as an example here, where I’m going to say, let’s come in and select we’ll just add a new contact and invite them to the portal. And we will have it. So they don’t have a subscription. They don’t have any manual email updates for me. I’ll just send a portal invitation.

And let’s go ahead and we’ll just say, well, and add a new contact with my quick add on my contact management screen.

And I’ll click here to send that portal invitation. So now I just did a quick add. Tammy doesn’t have much information. I haven’t put in her phone number or any notes on the record or anything like that. But I can come in and see her portal tab.

Now Tammy actually just received an invitation. When I did the quick add on Tammy, I had checked that box that said invite to portal. So it turned the portal on for Tammy. I could manually come in and send that portal invitation, but let’s take a look and see what Tammy received.

So Tammy just received that portal invitation. Here is Tammy’s inbox. I set this up so we could see what Tammy sees. I set this up before class. So here’s Tammy’s inbox. And it would say your name via Flexmls, but mine just says my training name. And when she gets that, that’s the portal invitation.

So if I were to manually send that and then click invite to portal on a contact record, I see this already in here. That invitation is defaulted in your portal preferences. You can always go in and customize it and change it, but it’s a great intro email because it also includes links to watch a short video on how to use the portal. Don’t forget you can download an app for the portal, the home buyer app for your iOS or Android device.

So that’s the email that just went out to Tammy when I added her as a contact, and I click that little button that said invite to portal. So Tammy has to sign up to use the portal. So when she signs up, her username is already her email address, and she just sets her own password. You will not have the ability to know what Tammy’s password is.

You can always help her send a reset link if she’s forgotten her password, but, Flexmls takes security very seriously. I don’t know their passwords. You don’t know their passwords. You can help them reset it, But come in here and sorry. Let’s see what’s going on. I might have too many windows open right here. There we go. So Tammy’s logged into the portal.

She created a portal account. So she doesn’t have anything in the news feed. Those would be listing updates. So she doesn’t have anything in that news feed. She can send messages to me. If she looks at saved, I haven’t saved any searches for her, so she doesn’t see any saved searches. But Tammy can now come in and start searching the MLS herself.

And she can do this remember, this will optimize if she’s on a mobile device. It’s optimized for mobile, or if she’s on opens this up on her tablet or laptop, she’ll see it out like this.

She can start searching herself for whatever she may be looking for.

So maybe she’s looking in West Fargo, four bedrooms.

And as Tammy goes in and starts looking at these searches, let’s look over here. Square footage.

So Tammy’s created this search. She’s got seventy six results and or now twenty five results after that square footage change.

Now Tammy can start looking at listings on the MLS, but she’s in my portal. So everything that she does, I see. If Tammy looks at this particular listing and looks at the details and says, oh, this is great. I want to save this listing to my favorites. Or maybe she wants to come in here and get a link.

She’s gonna email that listing or text that listing to somebody if she’s on her mobile device. She can just copy and share that listing.

Or since she’s in my portal, if she taps on request a showing, this is my portal. So she’ll see that it’s going to me, and the message she can type in that message and send me that showing request. It’s my portal. It’s not going to the listing member. It’s going to me because she’s working with me. We already have that relationship.

And now I just received a message and notification from Tammy that she’d like to see this property. So then I could set that up with the listing member. Same thing if she has questions on something and clicks on contact agent, since she’s in my portal, that’s going to go to me. It’s not going to the listing member. And anything that Tammy, maybe she’ll go to the next listing here.

She likes this one as well. If she saves this listing, those start showing in her saved collection. So now whatever searches she’s doing and listing she’s saving, she can keep track of them. She can go in again. She can maybe rate this with three stars. If she’s looking here, she can share the listing, contact me about the listing.

Whatever Tammy is doing, it’s going to be saved for her if she saves the listing. And I’m going to see back in Flexmls. I’ll just reload my contact management and come right here. I’m going to be able to see what Tammy’s doing inside the portal. So I’ll be able to see listings that she has saved. If I click on this, I’ll see what Tammy has inside the portal.

She has three stars on this one, one star on this one. So I know what she’s doing. It’ll take a few moments, but the search that Tammy ran to create that, that will show down here in that recent unsaved search section. So it won’t be in immediately. Usually takes about two or three minutes before I see that.

So Tammy has a ton of options for looking at listings, saving listings, contacting you about listings, and I never even created a search for her. I didn’t turn on a subscription for her, but she still has access to search the MLS. And I’ll be able to see what she’s searching for and saving. So you can absolutely use the portal independent of any other functionality in Flexmls.

Maybe Tammy’s the type of person who says don’t send me listing updates. I don’t check my email. I can still save a search for her. And when I save a search for her, she’d see it under my saved searches, and she could check it herself. The default sort sort excuse me.

Default sort for the search or searches that I create for Tammy, it’ll default to showing the new listings at the top of the searches. So she can just check herself and see what’s new at any point in time. She doesn’t have to get the updates from me. Now the updates work well. It gets a nice notification of new listings, but the portal can be used one hundred percent by itself if you would like to.

And it’s a still a great experience for the contact because it gives them control. They can search and save listings. Next question. And this is a big one. Maybe you’ve been using Flexmls for a while, and you want to know I’ve invited a lot of people to use the portal. Who is using my portal? And I’ve got a couple of different routes we can take to see who is using the portal.

And I like the very first one here in contact management. We can customize the information that displays. So what that looks like, I’m just gonna click on contact management. And right now, I see my contacts name, activity. That I always keep in here and that’s there by default. And that just lets me know who’s looking at listings, whether it’s in the portal or listings that I send manually.

It all goes into that activity column. But my question is, I’ve got a lot of people that have the portal turned on. I’ve invited them to the portal, but who’s actually in the portal? So I can customize these columns of information that display. And I’m going to click on advanced. And the very last option under advanced on the upper right is customize my contact list.

Now on the right side, I see everything that we currently have on display. The portal is it off or on, phone number, email. Well, maybe I’m rarely reaching out via phone from my contact list. Maybe I I’m gonna take that off.

But there is an option here last active, and we’ll see. It won’t display right now. We’ll add it. When I add it as a column, we’ll be able to hover over and see what that is. Last active is actually the last time they logged into the portal. The last time they went into the portal looked at listings. So that’s what last active means. I’m just gonna put it on here.

I’m gonna actually put it right after my portal. So I’ll see is their portal on, and when were they last inside the portal. And then I’ll click on save changes.

Now I see there’s my activity here on the far left, always there. I see is their portal on or off.

And then I see when were they last active within the portal. And now I just demonstrated Megan’s portal, ten minutes ago. So I see, actually twelve minutes ago. So I see that her last active. That’s the last time Megan was in the portal looking around because we were demonstrating as Megan. We actually see the last time they were active in the portal.

So that column allows me to see who is actively using the portal. If you’ve got hundreds of contacts here and say, maybe some of them are active in the portal, some are not. You can always click on that column header. Now you’ll notice before I click, it tells me that last active is sorting I’m about to sort by the portal login. So it tells me what that column of information is.

Because last active, sometimes people say, what does that really mean? It’s when they last logged in or last actually had activity within their portal. So if I click on that, now it gives me everybody who’s been logging in. I just sorted by last active, and I can see, Tammy. We demonstrated her after Megan, and you’ll see she logged in at, eleven seventeen AM central time.

My training account is central time, so that’s what it’s displaying on screen right now. So but I can also see I’ve got several other other people who’ve logged in, but not for some time, which is to be expected because these this is a training account. These aren’t actual contacts that I’m working with.

So I do see that they have that option right now.

Now one other thing to mention here is that there’s often the question of if somebody is not using the portal, can they save a favorite listing? So I’ve logged out. I’m gonna come back out here. Gonna get into Megan’s inbox. Give me one moment.

And the question is, can people save favorite listings if they’re not using the portal? So I’m going to show you. Here’s Megan. Now I’ve logged out of her portal because I’ve opened several different windows, so I had to log out for Megan. I had her logged in previously, but right now, if Megan is not using the portal and she’s not logged in right now. So this will respond as if she’s not using the portal.

And she looks at one of these listing updates. I’ve sent her and taps on the listing and views the listing details.

As she’s looking at those listings, it is not she’s not going to see the same menu where she can save searches or anything like that. All she’ll see is the news feed because she opened this up from a subscription. So she can see all of those listing updates, but she doesn’t have the agent saved searches. She doesn’t have the ability to run her own searches.

If she attempts and she’s looking at this, and she attempts to save the listing and says, I’d like to save that listing, she would have to log in to the portal. So, if you do share an interactive listing with a contact they attempt to save, In order to have a place to view those saved listings, they have to be using the portal. So they would have to go in and log in and use that portal.

So if I’ve got the portal turned on for an for a contact, that’s what that process would look like. If they weren’t logged in already, they would have to log in to be able to save that.

Now once they’ve logged in, if I send a, listening to Megan via text or a manual email, it’ll open up inside her portal. She’ll be ready to go, and she’ll be able to just click and mark something as saved immediately from there without having to log in again. They don’t have to log in again and again and again. If they’re using the same device, they’ve already logged in once, it’ll keep them logged in.

It doesn’t time them out as far as that login is concerned.

Now there is one other place to see who is currently using the portal. If you’re like, I already have a lot of columns of information here. I don’t want to add in that last active column. You can go to advanced, and there is a contact summary report. When you click on contact summary, I’m going to see all of my contacts right now. They’re just sorted alphabetically by first name.

And then I’m going to see last active, and it’s under the portal column. So I know last active within the portal. This is clickable and I can quickly sort to see who’s last active. Same thing here.

The nice thing about this contact summary report, not only do I see who is last active, but I can see if they’re in the portal, I can quickly see how many listings have they saved total, and how many listings are new that they’ve saved within the past seventy two hours, for saving here. So I can come in and say, Megan, what is she clicked on recently or what is she marked as her favorites?

You can click on that or maybe I want to see Tammy what she’s marked as a favorite since we just invited her. She’s got two new favorite listings and it will just show me what she’s marked as favorites. So that contact summary report is really nice too.

Not only to see who is active, but also gives you just that quick link of if they are active in the portal, what have they marked as favorites, and you can just navigate to that contacts favorites right from here. Or if they’re removing listings, or if they’ve sent me messages, it’s here as well. So I’m just going to go back out to contact management and point out that report was under advanced.

And the very first option under advanced, that contact summary report.

Now, on to our next frequently asked question after who is using the portal.

This one is, can multiple users share a portal? Or maybe I’ve got a husband and wife is a lot of times the scenario that somebody will present to me. Can they both log in and use the same portal? What determines the username and login information and password? So oftentimes, we’ll click on Megan for our example. People want to say, well, Megan, maybe I want her to have a spouse.

I could add her spouse separately in Flexmls. I could add out here, put in her spouse name, maybe Pat Phillips, and do a quick add and have a separate account for Pat.

If I do that, they can get different listing updates. If I am on Megan’s record, you’ll see when I edit the contact, you do have the option to add additional email addresses. However, that will have no bearing. So maybe I’ve got her spouse in here, and and I’ll just put in Pat’s email address.

And if I click notify, that has to do with the automatic listing updates, the subscription. This means any listing updates that Megan gets, if I click that notify, Pat’s email address that’s on her record will also get the same updates. So I can save the changes.

But with the actual portal, there is only one login per any given portal.

So Pat will never have a separate username and password for the portal. So if I’ve invited Megan to use the portal and we’ve already seen Megan’s portal, and I want to have Pat have access to the portal as well, I would just tell Megan to share her login information with Pat. Because the portal, when they log in, there is a single username and that username will always be the primary email address on that member’s record.

So in this case, Megan or Pat would log in with the username of megan n star at mailinator dot com. Whatever Megan’s email address is, that’s what Pat would use as the login as well. He would use Megan’s email address as that login. And Megan would have to share her login information that, password that she’s created. She would have to share it to give Pat.

And that way, they would both be in the same portal. That means if Pat logs in on his device using Megan’s credentials and Mark’s favorites, Megan can see what Pat’s marked as a favorite. I can see what they’re searching for or what they’re marketing as favorites or what they’re removing. Doesn’t matter who’s using that portal.

I’m going to see what’s going on in the actual portal here when I look on Megan’s record. I will not see who is doing what. So I can’t see Pat logged in or Megan logged in. So can I see which contact is responsible for which actions within the portal?

If those contacts are sharing the same portal, I will not see which one is doing which because I’m just using a single contact with multiple I’m gonna go back to contact management with they’re just sharing logins. So usually for spouses, I tell people, just tell them they can share that login information with the spouse so they can both get into the portal and use that.

They can mark their favorites, and they would all just be put together under the same saved collection there in the favorites.

Now I do see a few questions that came in and that I want to address.

And one is, I think, tied back to the portal invitation when I went to contact management and I just added Tammy on the fly, and I said add that portal. The question is, is the portal invitation different when I invite them from the full website? And I’m paraphrasing this. When I invite them from the full website versus when I invite them from my app.

And it’s actually a different invitation.

So I’m just gonna look at the portal invitation here on the full website. And I prefer to invite people from the full website because I’m just gonna come in. Let’s go to somebody who doesn’t have the portal on. We’ll go to Aaron Anson. And Aaron’s not invited to the portal yet. If I were to invite the portal, I’ll just click on for Aaron and click portal invite. And this is the premade message that’s in your portal preferences.

And the reason I love this message, even though you can customize it and personalize it a little bit, it’s got these short videos that when you invite somebody to use the portal, it tells them how to use it. And it also tells them they can download the app for their iOS or Android device.

So it’s a really nice email that gives a little bit more context. Now I’m actually going to bring up my phone. Give me one second to see if I can get this up.

So when I invite somebody to use the portal from my mobile device, it’s a little bit different experience in that portal invitation.

It’s not that same portal invite message that I see right here. From my app, I’m gonna pull up my app on screen right here. So I’ve got my Flexmls Pro app. If you do not have the app, you can go to the Apple App Store or Google Play Store, and just search for Flexmls. And it is the Flexmls Pro app. So it’ll be a white tile with a little blue Flexmls logo. I’ve already logged in, I think, today on this.

Now I’ll have to double check to make sure. Actually, it looks like I haven’t logged in yet on that.

So now I’m logging in.

So from here, and let me double check to see which user I am using as. Alright. I’m in my training account. When I go to contacts, I can invite somebody to use the portal. There’s Megan Phillips right here, and then I see them sorted by active then alphabetically. There’s Aaron Anson here. We just invited him. We just sent that invitation from the full website.

What that invitation looks like from the app. Let’s click on Alonzo. I can tap this green button that says send invite. If you use an Android phone, you’ll notice the send invitation button. I don’t think it’s on this screen. I think you’ll see that when I tap on Alonzo.

It’ll be right under his name, and it’s a blue button rather than than a green button that says send invite. But I could send the invite from my iPhone or Android. Doesn’t matter if that button is green or blue. It does the same thing. But the invitation, I’m just gonna tap on send invite, tells me who I’m sending it to, what phone number it’s going to. And it’s a very short, invitation right here.

It doesn’t have the link to the videos. It doesn’t have a link to tell them to download the app. All this does is quickly send that invite. I’ll tap on that for Alonzo.

And let’s just come out here and see if I can show you what that invitation looks like. When you send it from the app, it’s very abbreviated.

So here, I just this is Alonzo’s inbox. So this is what Alonzo sees from me, but it’s just a really abbreviated. It doesn’t have all that extra information. It doesn’t have links to the videos, but it is pretty self explanatory. If Alonzo clicks on sign up for that portal, same process.

He creates his own password, confirms he’s not a robot, and then he just clicks confirm. And, I think I’m gonna get this twice today because I have so many accounts going at the same time. There we go. And now Alonzo’s in the portal. So that invitation actually looks slightly different depending on if I send it from the full website or the app.

So the app or the full website, the portal invitation, very robust, very has it’s not long, just, like, two short paragraphs, but it does provide more context. And then when I invite that from the app, we’ll just there was Alonzo right here. It is a very well, I’ll just tap on Alicia and just demonstrate again.

I can customize the message that appears here, but it is a very short message when the app is used. So the portal preferences, that invite that I have on my portal preferences on the full website, that invite message does not carry over to my app. So I just wanted to point that out.

And very last question that I see, and we’ll cover this just within our last couple of minutes of class, is last time we had a class on portals, I demonstrated how to work on behalf of somebody.

And the question that came up from that was, if you’re working on behalf of somebody and you recommend a listing, does the contact receive a notification of that? So in this example, we’ll just say I am looking on a hot sheet today. I see something that I think Megan would really like.

And if I wanna take this Meg this listing and just manually email it to Megan, I can select the listing here, go to email, manually email it. But if I wanted to go into Megan’s portal, under the agent recommended folder, I can work on behalf of Megan. So in my actions at the top of the screen, I’ll tap work on behalf of. I’ll say work on behalf of Megan.

You just start typing in the contact’s name and select. I see Megan’s. These are the searches I’ve saved, her saved listings. And if I want to recommend something, so Megan sees it in her recommended folder, the agent recommended folder inside the portal, I tap on that little briefcase icon.

And now in Megan’s portal, she is going to see that there’s a new listing under agent recommended. Now the question here is, twofold. One thing to point out, if Megan is not using the portal, recommending a listing, she’ll never see it. Because if she doesn’t log into the portal, she won’t see those recommended listings.

So it would be better for me just to select the listing and manually email that to Megan. But if Megan is using the portal, and I do recommend the listing here when I see something that I think, oh, that doesn’t match her search. However, I think she’d really like it. I put it in that recommended folder. Does she receive a notification? And I’m gonna come up, and we’ll see.

I’ve got the client app, the Flexmls app for homebuyers. So we just looked at and sent a portal invitation to somebody from the Flexmls Pro app. That’s the app for agents. I’ve got the home buyer app. That’s the client portal in app form. And so, let’s see if I’m logged in as Megan here. Let me just double check this. I’m in as Megan. I just wanna make sure I’ve got the correct account here.

So I am correct.

So if the client is using just the portal website, they will be able to see under saved when I’ve recommended something to them. They’ll see something in this recommended folder. And here I have five recommended listings for Megan. But they don’t actually receive a notification for that when they’re just using the portal website.

But the reason I open this up on the app is because when I invite somebody to use the portal from the full websites, and it has that link of how to use the portal and it’s got the links to the apps that they can use, in the app I’m just gonna tap on more.

And Megan can turn on notification settings.

So if she does this, she doesn’t have to rely on emails for listing updates for her searches. This will give a push notification to her phone on any new listing she could choose, price changes, but she can also choose if Josh recommends a listing to me. I’m just gonna turn on those agent recommendations.

Once she toggles those on, now when I recommend a listing to Megan, she’ll get a push notification directly to her phone.

So when I come in and recommend a listing out here on the or on this, Megan will get that push notification directly onto her phone where she’s going to see, like, a little pop up will come onto the phone, say that listing has been recommended. She’ll tap it. She’ll open it up within the app.

So one thing that the app version of the portal has that is unique to the app versus, unique to, the full website is the push notifications on the app. That’s really the one thing that sets the app apart from the full website. They don’t have to download the app, but the benefit if they do is they can get push notifications directly from from your searches to their phone.

So they don’t have to wait for an email, just pops up on the phone itself. And it also allows them to say, if the agent recommends a listing, send that as a push notification as well. So they’ll get that immediately when the notifications come up. Alright. And with that, thank you, and have a great rest of your day.
