Welcome everyone. My name is Anne O’Shea, and I’m your Flex MLS trainer today. And today’s coffee break webinar is short and sweet, and it just covers working with search results. Before we begin, we are using GoToWebinar as we usually do. And, just double check that your computer speakers are on. If you need to leave, you have any issues whatsoever, don’t worry. This is being recorded, and we will send everyone that registers for the class a link, around this time tomorrow. If you have any questions, gonna have to type quick because it’s a short webinar.

You can open the questions pane, and in there, Josh and Amy are both on able to answer any questions that you have. And at the bottom here on the screen, if you notice, there’s a little red asterisk. This webinar is available to multiple MLSs. And because of that, I’m using our home based MLS called the Fargo Moorhead MLS because our company is based in Fargo, North Dakota. And, so it may look a little different than what you’re used to, what you have in your MLS, but the process and the features are, you know, pretty much the same. So just don’t worry. I’ll you’ll still be able to get something out of this.

So today’s topics, kind of subtopics, search results.

I’m gonna show you how to select listings, work on behalf of, share, email, save, both as a search, or as a listing collection, and then print. So let’s jump in.

So here I am in my home dashboard in Flex MLS in the Fargo Moorhead MLS. And if it looks a little different than yours, don’t worry. What I’m going to show you is still applicable.

So we’re gonna jump right in and use quick search. That’s our most commonly used, the most powerful search. You do have other searches and but I may go ahead and use quick search. We’ll just start a basic quick search so we can get something to select. First thing, last time I was in here, I used the residential template. So that’s what’s here, but you can always select whatever your other templates are in your MLS. We’ll stick with residential today. And I can see that I have seven hundred and seventy two results. Now first, I’m gonna search down here. Then I can find what I want to select using these tabs here, the list, the detail, photos. I can use any of those to find the specific listings I want to select. And then up here are the action buttons that we’re going to really focus on today, which is work on behalf of, share, email, save, and print. Some of you have a CMA button, some of you don’t, and other things. Not to worry. You’re gonna get a lot out of this. So I’m starting with a residential search, and it in this MLS, the default is active. And I’m gonna go with, list price range of a hundred and fifty thousand to three hundred and fifty thousand just for fun. And that already drops it down to three fifteen. And I’m gonna say, pick single family residence and city of Fargo. Now I’m down to seventy one results, and I can pick other things. Maybe I want a minimum of three bedrooms, and it’ll just keep reducing. You can, of course, select whatever else is available to you in yours, MLS, and, of course, you can add fields, and there’s additional search options down here at the very bottom, things like open house or number of photos. But we’re gonna just skip on by that because today is not about searching. It’s about what to do with those search results. So I’ve got sixty five, and I can come over here and look at the map, and I can see all the green dots because they’re all active. And here are more tools to kind of further narrow down the search with different map tools. Again, we’re gonna just jump right in and go into selecting results. So we’ve got the list tab, the detail tab, photos, maps, and stats. I’m going jump into the list. You don’t have to do them in any order. I’m just going to go ahead and use the list tab and here I can see there are listings. I can sort them by whatever column I choose and I can select among them. These are my sixty five results, and there’s nothing selected yet. You can see here in the upper left. So I’m going to just point out this little box right here. Love this box. This one will select all sixty five if I want, and then I can deselect the ones that perhaps my client is not interested in. I deselected three, and now I have sixty two selected. Check the box again. Now they’re all selected. I could check it again, and now they’re all deselected. So let’s say my client is interested in, these three listings for whatever reason. These are their cup of tea. I now have sixty five results total, and I’ve selected three. What to do? Well, now we’re going come up here to these action buttons. So if let’s start at the left, work on behalf of. Maybe I’m working with Mark, and, he’s a contact I already have. I’m gonna work on behalf of for him. This helps me throw these listings into his portal, which is his access to the public side of the MLS via an app or a website. And I’m gonna type in his name. All my contacts are in here, but I’ll type in Mark because I know he uses portal a lot. Select him and click Okay. And now it kind of gives me a peek into what’s going on. I’ve got three searches in his portal he has access to. He saved five listings hid for, and there’s the recommended. And I’m going to look at just my selected because that’s what I want to show him and looks like I recommended this one already. So that’s good. I can click on the little suitcase here and recommend these other two, and now they show up here. There were two here, and now I’ve added two more, and now there’s four recommended in his portal. So that’s working on behalf of for Mark. And I can come in here and stop working on behalf of contacts or work on behalf of a different contact. But let’s just stop because we want to move on. So I have these selected three, and maybe I want to share them with him.

I can click on share, and I can choose what am I sharing. The currently selected one, which is highlighted here in blue or all three, the group was selected. And what am I sharing? So maybe I pick all three and am I sharing? Well, how am I sharing? Not just for Mark, but I could put them on Facebook, Twitter. I can get a link to throw into my Facebook Messenger to him if I want or just whomever. Whatever your MLS rules are about sharing that’s up to you occasionally, some MLSs will not have that option available because it’s against their rules but check with your MLS on that. I can email from here. This is going to use my Gmail that I have open or my Yahoo mail that I have open. This is not going to use the Flex MLS email tracking system. So I choose I tend not to want to do that, but we have a newer feature here, text. And if I click here and click on text, I can now share these listings and I have to select a contact.

And in here, you can see I have all my, contacts are here and Tracy is actually the only one that I’ve already set up for texting. So I can just click on her and at the bottom center of the page, I click on text.

There we go. I’ve texted them to Tracy. I’ll dismiss that.

And one thing to know is the reason that she was in there and everyone else was grayed out is because I had gone into contact management, made sure to put in a mobile number for her, and then invited her via the email link in there to allow me to text her from my desktop or my laptop. So that’s a great feature. You could set that up for your contacts. Let’s move on, though, to email. Email’s right here. Maybe I want to email these listings. Interactive version or printer friendly? If you always go with interactive, you can say, don’t show this again. And it says, I know I can email the printer friendly version from print. Absolutely. But I’m gonna go ahead and I will select interactive version, but I’m not gonna make it choose every time for me. And just start in the upper left, just like you would with reading. Current listing, again, it was the one highlighted. I don’t remember which one. If I wanted to go back, I would use this button here, return to search results. That’s better than using your browser back button. Go right back to your search results. You won’t lose them. Selected. Selected three. Those are the three I wanna email, and then all results. I still have the option of changing my mind and sending all results. Version. Public. It’s for a client, so public, and then whatever I want to include. Maybe I’ll just send open house information. And I come over here, and I can enter my contacts. Maybe this is going to Leah, and or I can add a new contact in here. I like to use Flex and Mollisks because we can help track those. And then here’s the email. I can put her name in and just click email at the bottom right. You can click on view listings too. I could email. But I’m gonna go back to search results cause I want to show you save. Save is the next button up here in our action buttons. If I click on save, I have two options. Because I’ve selected three or selected however many I select, I can save the selected as. So I can save the search, which is saving the search parameters of that price range, city of Fargo, etcetera. All those things that I’ve done, and I can just save the search. Or I can save these selected as. And when I save the selected as, I’m saving these three specific listings into basically, like, a file folder, and we call that file folder the listing collections. So I can save selected as, give it a name. Maybe I’ll call this open house for, Leah and save. Now I’ve created a collection, and I’ve saved them so that I can go back to them easily and find them for the open houses that we’re gonna look at on Saturday. But let’s save the search. I could also save the search here. Just come in here, save the search. Is it a new search or am I updating an existing search? Give it a name. I can mark it as a favorite or not. Give it a description, totally optional. And then is it a search for my use? Is it for a new contact or an existing contact? Very easy. A new contact, just a name and email. You could turn on that portal that MLS access and, to the public side, of course, or an existing contact. Click in here, and I can find all my contacts or just start typing a name if you have many, many, which many of you do. So let’s say I’m going to send these to Andy, and I can come in here and I have to give it a name. I do have to save the search. I’ll say Andy’s search. Helps if I can spell. There we go. I can click save. Saves the search. Done. I now know I have a search saved to Andy. I can pull it up whenever and run the search and see what’s latest on my own if I like, or I can turn on the subscription, those automatic emails for him. So that’s very easily done right from here. So great things to do. This is under save. Three different things. I’ll just save the search.

I’m not gonna go on, but it’s giving me the option to email, which we already covered. Selecting things to email, which listings to email, and don’t send listings now or just dismiss. Okay? What’s next? Print. Maybe I wanna print these out. Maybe I’m coming up and oh, I don’t know if you noticed. Andy search is up here now. And if I want to make it a favorite from here, I can. Just highlight that little star just like in your menu options. And here’s Andy search, and I still have three selected. The search is now under Andy’s name, but maybe I want to print these. Maybe Andy came into the office and I want to print them for him. I can click on print, and it looks very similar to the email window except you have more options here. So I can, again, print the current listing. Again, if I don’t remember which one that is, can go back right here or I can print those three maybe for our open house tour on Saturday or I can print all results. Version public for my contact. I can also do a private version if I want just them, so I have those private, you know, agent only remarks and things in hand for that open house tour in case they, you know, he has a question. You can choose what format you want to send. Do you have different reports or flyers? Whatever’s available in your MLS will be here. You choose it. I’m going with the default in this MLS. Keep going down. You can also print public and private at the same time. So that’s handy if you’re planning on printing out one for your client and one for you at the same time. Just check that box, and then you can choose what to include here. Photos. Maybe you want to print all the photos or just the primary. Depending on the report, you might need it not to do this, not need to do this. Map. You can choose to print a separate map for each listing. Most people prefer the combo. You know, they’re all combined on one map, but it’s up to you. You have options. And then down here, we can preview. Now we can select preview and print in a new window. It’s up to you. I’ll just go ahead and click preview. Not a problem. There we go. And because I have the map, I can see they’re all on one map, and there’s the map page, and here’s the next page, which is the listing report, the full report in this MLS for each one of those three listings. I can also come over here, and you notice prints already highlighted very blue, nice to easily spot, but you also have the option of emailing from here. So if you chose to do print, and then you want to email as well, and then, of course, I can print. So I can select print and see what I’m gonna print, and then you can save it from PDF here, or there’s a PDF button down here next to print too if you want to go straight to that, or you can choose your, you know, whatever printer you have access to there as well. And, I’m not going to print it. I don’t have anybody coming to my office, but you get the idea. So lots of great things. I’m going to return to my search results.

We’ve done work on behalf of sharing, email, save, print, and for those of you that have a CMA button, if you click on that, you can use all results. Again, it gives you the option sixty five results or my three that I selected or jump into a one line CMA. This would be the full or quick CMA or those statistical CMAs if you have the button.
